Trip Cancellation & Refund Policy

Details regarding non-refundable amounts are listed on each trip’s payment schedule. To cover some base fees for credit card processing, vendor payments, and contracts signed on behalf of the group, most trips include a non-refundable amount due upon booking. The initial deposit secures the travelers’ spot on the trip and is non-refundable.

The payment schedule is designed to take the financial burden off student travel and field trips and travelers have the option to pay in full. Failure to keep up with the payment should be communicated to the Simplified Student Travel team to avoid involuntary cancellation without a refund.

Removal from the school’s travel roster will mean that the traveler is forfeiting all money paid, unless travel protection is purchased. In these cases, the traveler will be removed from the trip and all funds tendered less the deposit will qualify for a full refund.

Once the school gives a verbal commitment that they will use the services provided by Simplified Student Travel, the Trip Insurance terms and conditions will be sent to the lead teacher and will be provided to all travelers at time of registration.

Cancellation by an Individual Traveler

He or she will forfeit stated, non-refundable portions of their payments as listed in the trip’s payment schedule. With each trip having a unique itinerary and inclusions, these non-refundable amounts allow Simplified Student Travel to reserve transportation, accommodations, meals, and activities with vendors on behalf of each traveler and the group without absorbing additional financial risk.

We recommend that you consider purchasing the trip protection plan, which will be able to help reimburse full or partial payments if you need to cancel your trip due to unforeseen reasons.

Cancellation by an Organizing Body (such as a school or school district)

Group leaders and/or leadership officials have the authority to make decisions and trip changes (including trip postponements or cancellations due to inclement weather, safety concerns, etc.) on behalf of and for the benefit of his or her group’s participants. While the Simplified Student Travel online system allows for payment collection on behalf of the school, it does not bypass their leadership and decision-making authority.

Simplified Student Travel will work with leaders to reschedule postponed trips whenever possible.

* If a trip cannot be rescheduled, Simplified Student Travel will seek to obtain refunds from our vendors and provide the highest possible refund and/or credit for future travel. The total amount/percentage of each refund will be determined by the non-refundable expenses incurred by Simplified Student Travel and any amount recovered from vendors. Leaders of the organizing body may choose to increase refund amounts through supplemental payments and/or credits previously received.

Cancellation by an Official Governmental Travel Ban

Simplified monitors all governmental travel advisories and adheres to any official travel bans. If a trip must be postponed due to city, state, or nationwide closures, Simplified Student Travel will work with group leaders and vendors to reschedule a trip when at all possible.

* If a trip cannot be rescheduled, Simplified Student Travel will seek to obtain refunds from vendors and provide the highest possible refund and/or credit for future travel. The total amount/percentage of each refund will be determined by the non-refundable expenses incurred by Simplified Student Travel and any amount recovered from vendors.

* Travelers who are unable to participate on rescheduled trip dates will be subject to the same terms and conditions as listed under Cancellation by an Individual Traveler.

Travel Protection Plans

Travel Protection Plans are designed to cover financial gaps created by trip cancellations. We suggest the purchase of a protection plan for each traveler. We will handle trip protection plans internally and offer one plan available for purchase: After the non-refundable deposit is paid travel protection may be purchased.

Simplified Standard Trip Protection allows travelers to cancel for any reason with no questions asked up to 7 days before the date of trip departure. (including Covid-19 situations). The optional Trip Protection Plan allows travelers to cancel their scheduled travel arrangements and receive 100% of the prepaid non-refundable trip payments for any covered reason. (less the deposit).

If Travelers cancel within 7 days of departure, and they purchased travel protection, they will be refunded 75% of funds obtained after the initial deposit.

Package Details

Package prices are based on a minimum number of passengers paying. If the minimums are not reached, Simplified Student Travel has the right to cancel the trip or make necessary pricing adjustments and/or changes to the inclusions outlined in the trip package.

Package prices are based on the cost of fuel at the time of booking and may be subject to change. Additionally, trips involving air, cruise, or train travel may be subject to additional travel cancellation and/or transportation supplier fees. Other restrictions may apply.

It is imperative that the school’s book, and parents register as soon as possible after receiving quotes to avoid increases or availability issues with buses, hotels and at other sites.

If Simplified Student Cancels refunds will be issued to registered travelers who have purchased travel protection. In good faith Simplified Student Travel will attempt to refund remaining travelers to the best of their ability.

Liability Waiver

Simplified Student Travel utilizes the services of independent contractors who are not employees or agents of Simplified Student Travel to execute each trip and therefore does not manage the employees, operations, or equipment of these suppliers.

In consideration of the risk of injury to a participant during a trip, traveler and/or legal guardian knowingly and voluntarily enters into this waiver and release of liability hereby waiving any and all rights, claims or causes of action of any kind whatsoever arising out participating in the trip, and do hereby release and forever discharge Simplified Student Travel, LLC, their affiliates, managers, members, attorneys, staff, volunteers, heirs, representatives, successors and assigns, for any physical or psychological injury, including but not limited to illness, paralysis, death, damages, economical or emotional loss, that traveler and/or legal guardian may suffer as a direct result of his/her participation, including travel to and from an event related to the trip.

On behalf of himself/herself and/or dependent, traveler and/or legal guardian agrees to indemnify and hold harmless Simplified Student Travel, LLC against any and all claims, suits or actions of any kind whatsoever for liability, damages, compensation or otherwise brought by an individual or anyone on their behalf, including attorney’s fees and any related costs, if litigation arises pursuant to any claims made by traveler and/or legal guardian or by anyone else acting on his/her behalf.

To the extent that statute or case law does not prohibit releases for negligence, this release is also for negligence on the part of Simplified Student Travel, LLC, its agents, and employees. Traveler and/or legal guardian agree to indemnify and hold Simplified Student Travel LLC harmless (including costs of defense) for any third-party claim arising out of the Traveler’s intentional or negligent conduct causing harm during the trip.

Traveler and/or legal guardian should carry his or her own health insurance in addition to any travel insurance or protection plan purchased for this trip.

Pictures, Photography, Video Release

As a parent or guardian of this traveler(s) I grant permission to Simplified Student Travel to use any photo or video footage captured while taking part in this school authorized trip for social media posts including but not limited to Facebook and Instagram as well as any pictures added to the SimplifiedStudentTravel.com website or any promotional video.

*** If you do not consent to the usage of photos or videos, please sign off on the waiver and send a email to info@simplifiedstudenttravel.com to let our team personally know in writing that you do not consent and during the trip we will make the necessary accommodations to ensure yours or your child’s image and/or likeness are not used by Simplified Student Travel.
